Email address is one of the unique identifiers used by the system. You cannot have two events with the same email address on the same day.
Scenario 1: Depending on your account configuration, a record may have been created automatically and already exists. This would be the case if you have the Booking System automatically create a Client Login, for example, and then you attempt to create an event. Check the Event Information area for the event.
Scenario 2: If you have the same client with multiple events on the same day, you will need to assign a different email address.
Scenario 3: If a client reschedules an event and a new record is already created for the new date, you will receive the "email already exists" message when you try to edit the old date to the new date.
Option 1 (preferred): If there are no saved planners yet for the new date, you could delete the new date record and follow steps to change an event date found here. This allows for more seamless transfer of Event Payment and Event Files. Be sure no essential, saved data exists for the new date before deleting! Once a record is deleted it cannot be recovered.
Option 2: You can move planners from one date to another one-by-one for each saved form following the steps below. Event Files would have to be re-uploaded to the new date (if in use). Event Payments also have to be manually adjusted (if in use).
Event Planner
Step 1: From Events, click the Event Planner icon.
Step 2: Click the pencil icon to edit.
Step 3: Change the event date to the new date, then click save.
Event Timeline
Step 1: From Events & Clients > Event Information, click the Timeline icon.
Step 2: Click the pencil icon to edit.
Step 3: Click the Save button.
Step 4: Change the Date and click Save.
Music Request List
Step 1: From Events & Clients > Event Information, click the Request List icon.
Step 2: Click the pencil icon to edit.
Step 3: Click the Save List button
Step 4: Change the Date, then click Save List
Once all forms have been saved to the new date, verify they exist on the new date. Only then can you safely delete the old date. Remember, deleting an event record removes all information and this cannot be recovered.
